Submitting and approvals
Tracked time becomes a record in two steps: you submit the days you’ve finished, and a Manager, Administrator, or Account Owner approves them.
Before you submit: confirm your timer entries
Entries created by a timer arrive unconfirmed. On an editable day each one carries a small green check — on the calendar block and beside the title in List view. Click it to confirm. Entries you typed in by hand are already confirmed, so they have no check.
Every entry on or before the day you’re submitting has to be confirmed first; if one isn’t, the submission is refused and the modal says so.
Submitting your days
Click Submit Timesheets in the timesheet header.
The modal shows one week at a time — use the arrows, or the month and year dropdowns, to move around. Each row is a day with a checkbox, the date, and Hours Worked; under 8 hours shows in red so a short day is obvious before you send it. Total Hours Selected adds up as you tick rows.
Tick up to the latest day you want included, then click Submit Time. The checkboxes pick the last day to submit, not a shopping list: everything from your last submitted day through the latest day you ticked is submitted, including days in between you left unticked.
Rows you can’t act on say why: a day already sent shows a grey Submitted or Approved badge instead of hours with its checkbox disabled, a Pending chip means entries still need confirming, and a Rejected chip means a manager sent the day back (hover it for the reason).
What locks
Submitted and approved days are read-only: their entries can’t be edited or deleted, and adding a new entry on one is refused — though you can still open an entry to read it. To change anything, ask a manager to reject the day; rejection unlocks it without touching your entries.
The Approval page
Account Owners, Administrators, and Managers get an Approval entry in the Performance menu. Anyone else who reaches the page sees “Only owners, admins, and managers can review timesheets.”
There are three tabs — Pending, Approved, Rejected — and a Range filter with Last 7 days, Last 30 days, All time, and Custom. Pending opens on all time so nothing in the backlog hides; the other two open on the last 30 days.
The left rail lists the people with timesheets in the current tab and how many days and hours are waiting. Pick a person and their days appear on the right: date, total hours, a status pill, and Approve and Reject. The chevron expands the entries behind a total so you can check the detail first. A submitted day with no time on it is marked Auto-approved and needs nothing from you.
Approve flips the day to approved, moves it to the Approved tab, and records you as the approver; approving a day that was rejected and re-submitted clears the old rejection.
Reject asks you to confirm and offers an optional Reason — fill it in, because it’s the only thing the submitter sees about why the day came back. You can reject a day you already approved, which is how to reopen one someone needs to correct.
What the submitter sees
An approved day stays locked, with an Approved badge on the calendar and
the list. A rejected day unlocks and shows a red Rejected badge with a ! button
beside it; clicking that reveals the reason, or “No reason provided” when the
manager left it blank. Fix the entries, confirm any new ones with the green
check, and submit the day again.
