Projects

A project is one board. It has its own columns, labels, members and card numbering, and it’s billed against one client.

Creating a project

Open the project picker from the sidebar (or press Cmd+K) and click Create project at the bottom of the list. The action appears only for the Account Owner and Administrators. The dialog asks for:

  • Project name — required.
  • Description (optional) — what the project is for.
  • Client — required. The client to bill against, or Internal for your own organization’s work. See Teams, clients and guests.

Click Create project and you land on the new board, already set up with the standard columns.

Opening project settings

Click the gear in the board header. The gear — and the page behind it — is for project owners and admins only. Four tabs: General, Labels, Statuses, Members.

General

Project details shows the name, code, client and description, and Edit project edits all four. The Code is the prefix on every card shorthand, for example HARB-12: two to five uppercase letters or digits, starting with a letter. It’s uppercased as you type, and you’re told if another project already uses it.

Done cards overrides the organization-wide window for how long a finished card stays on this board: Use organization default (the option names it), Never, or a number of days. It saves on change, and hidden cards aren’t deleted — see My Organization.

Danger zone holds Archive project. Archiving hides the project from the board list; nothing is deleted. An archived project carries an Archived badge here and an Unarchive button in the same card.

Labels

Labels tag cards with colour. Click Create label, type a Label name, and pick a Color from the eight presets or set a Custom hex value — the Preview updates as you go. Each row has edit and delete actions; deleting a label removes it from every card it’s on, and that can’t be undone. Labels can also be created inline from a card — see Card details.

Statuses

Statuses are this project’s kanban columns. Drag a row by its handle to reorder them. Per column you can:

  • Click the swatch to change its colour (eight presets).
  • Rename it in place.
  • Set its Column typeInbox, Up Next, Today, Review or Done — which decides how it behaves and where its cards land on the combined board across projects.
  • Toggle Allows timer, which controls whether cards in that column can run a timer. See Time tracking.
  • Delete it. Cards still in it must be moved out first, and a project always keeps at least one Up Next, Today and Done column.

Add status creates a new column — Status name, Column type, Color, and the Allows timer switch. Adding your own columns is a paid-plan feature; on Starter the button is unavailable and a note says so, though renaming, recolouring, reordering and deleting existing columns always works. See Plans and storage.

Members

Members are the people who can see and work on this project. Click Invite and pick a tab:

  • Person — choose a Teammate and a Role, then Add member.
  • Team — choose a Team and a Role, then Add team. Every member is added at that role; anyone already on the project is skipped.

Project roles are Reader, Commenter, Member, Manager, Admin and Owner — change one from the dropdown on the row, or remove someone with the row’s remove action. See Roles and permissions.
